Someone else collecting your child: arrangements with childcare
Avoid confusion at collection. Agree who is coming, how to notify the provider and who can be reached when the arrangement changes.

Ask childcare to confirm its procedure before another person collects your child. A note in the household calendar does not notify the organisation. Staff need to know who to expect through their own process. This checklist helps clarify everyday arrangements; it does not create a separate access policy for the provider.
Check your location’s procedure
Rijksoverheid describes location-specific childcare safety policies that parents may inspect. Ask how collection by another person fits your provider’s approach. The questions below are editorial preparation, not a list of national identification requirements.
Does the provider require advance registration, a message or a phone call? Which information is needed and by what time? Ask how you will know that the change has been processed. Sending a message does not by itself mean it has been read before collection.
Separate recurring and one-off arrangements
A grandparent collecting every Thursday and a neighbour covering one afternoon may need different arrangements. Explain which applies and the start date. For a one-off change, ask how to avoid it being treated as a continuing permission later.
Review recurring arrangements when the group, location or childcare days change. Notify the correct contact yourself through the agreed channel. Do not assume the school, another branch or another parent automatically forwards the information to the staff who need it.
Give the collector a short practical briefing
Share the correct address, entrance, agreed time and location phone number. Explain where handover happens. During holidays, BSO may use a different location from the ordinary after-school arrangement. Check the current confirmation from the provider instead of forwarding an old message.
Agree which belongings to take and where the child will go afterwards. Share only information needed for this task. Do not give someone your parent-portal password simply to help with one collection. Ask the provider how to register them through the intended process.
Plan for delays
Who calls childcare if the collector is delayed in traffic? Who could actually go instead? Save the relevant numbers in advance and check that the backup person knows they may be needed. A name on a list does not mean someone is available.
For a last-minute change, contact the location directly using its instructions. Obtain confirmation and inform the original collector too. This helps avoid two people travelling at once, or everyone assuming someone else has handled the situation. Make sure the updated plan is understood by each person involved.
Explain the plan to your child
Use simple words to explain who is collecting today and what happens next. Adapt the explanation to your child. Collection does not need to be a surprise. If useful, ask staff how they can explain the change during the day.
Allow the collector time for handover. Ask them to pass important practical messages back to you. Agree when you will hear that collection went well, such as a short message after leaving. This is a household arrangement and does not replace the provider’s own procedure.
Review what happened
If anything was unclear, identify the specific step: notification, confirmation, the address or handover. Update that part of the plan. End temporary arrangements through the provider’s process when they are no longer needed, rather than relying on everyone to remember that a permission was temporary.
If there is disagreement about who may collect, speak directly to the responsible staff member. This checklist cannot resolve parental-authority or legal disputes. Ask what information the organisation needs and address the issue before it becomes a disagreement at the door. Keep practical collection planning separate from questions requiring individual advice.

Frequently asked questions
Is a household calendar entry enough?
No. Also notify childcare using its procedure and ask how you will receive confirmation.
Should I share my parent-portal login?
Do not share your password. Ask how to register the collector through the correct procedure.
