Checking a childcare invoice: hours, rates and corrections

Compare your childcare invoice with confirmed arrangements. Keep hours, rates, extra days and adjustments separate, and ask a focused question when something differs.

Check a childcare invoice line by line before comparing only the total. Put the agreement, confirmed amendments and invoice together. This lets you describe a difference precisely. The guide helps with administrative checks; it does not by itself determine whether a particular charge is payable in your circumstances.

Find the current agreement

BOinK explains that the agreement, offer and terms together form the childcare contract. Include confirmed amendments when checking an invoice. A rate in an older email is not automatically the rate applying to the new billing period.

Start with the location name, billing period and child covered by each line. If you use several locations or have several children in care, keep a separate overview for each placement. This reduces the chance of assigning a correction to the wrong agreement.

Separate hours from rates

For each line, record billed hours, hourly rate and line amount. Check the multiplication, then identify the arrangement explaining the hours. Contracted hours do not necessarily equal the minutes your child was physically present during that month.

If the link with your weekly timetable is unclear, ask how the provider distributes hours across months. Do not rely only on the number of Mondays in a calendar. An annual package or another agreed distribution may require an explanation before the bill makes sense. Keep the provider’s explanation with the agreement for the next check.

Make a simple arithmetic check

Invented example: a line contains 40 hours at €11.00, giving €440. A separately confirmed extra day of 8 hours at that same invented rate would add €88. Together that is €528 before any other items or corrections. These figures illustrate arithmetic only; they are not market prices.

If the arithmetic works but you do not recognise the extra day, find the request and confirmation. The question then concerns the underlying arrangement rather than multiplication. Keep these checks separate when contacting the billing team so your question can be answered directly.

Track adjustments separately

For a credit or additional charge, record the earlier invoice and period it relates to. Check whether the same adjustment appears elsewhere. A reduced total can have several causes; do not label it merely a discount if the invoice identifies a specific period being corrected.

Keep the original invoice and correction together. If necessary, request a breakdown showing the previous position, the change and the revised amount. This helps explain later why a payment differs from the usual monthly total. Do not discard the original simply because a new document has arrived.

Ask a focused question

For example: “Invoice X includes eight additional hours for period Y. I cannot find a confirmation. Which agreement is this line based on?” Include the relevant invoice reference and line. Avoid sending a complete personal file when a small amount of information is enough.

Ask when to expect an answer and how the provider handles payment while investigating the question. Do not assume an unclear charge automatically disappears. If disagreement continues, use the established complaints route. Keep a note of the response and the date of any promised correction.

Keep benefit and invoice checks separate

Checking an invoice is not a calculation of Dutch childcare-benefit entitlement. First establish the gross arrangements, then use your current personal details and official information for benefit questions. An invoice adjustment does not automatically mean every field in your benefit information needs to change.

Finish with three notes: what matches, which question remains and which confirmation you expect. Check the next invoice to see whether an agreed correction appears. A small consistent record prevents the same uncertainty turning into a new search through messages every month.
